QuickBooks Tip: How to Navigate the New QuickBooks Online

QuickBooks Online recently got a facelift. Like any software redesign, this update may make it a bit more challenging to navigate through the program – at least until you get used to the changes.

To help ease your frustrations, we’ve put together answers to six frequently asked questions about navigating the new QuickBooks Online. Read on if you’ve found yourself asking questions like: “Where is this report? How do I find this button? How can I print this?”

1. How can I print a month-to-month Profit & Loss Comparison report? On the left-hand side, select “Reports,” then “Profit & Loss.” Once you have selected the transaction date you wish to view, select “Customize.” Below “Row/Columns,” select “Months” and then run the report. Ta-da!

2. I want to run a specific report. How can I find it? Select “Reports.”  Above “Recommended” and “Frequently Run,” there is a search bar to find any report you will need that QuickBooks offers.

3. How do I find previous reconciliation reports with changes? Click on the gear icon at the top right of the screen.  Under “Tools,” select “Reconcile.” This will bring you to your “Reconciliation History” and “Reports.”  It will list any changes and adjustments made, which you can select via the link to see further detail.  Select the statement you wish to print.

4. Is there another way to create invoices, bills, payroll, and/or deposits instead of selecting items on the left hand side? Look for the plus-sign symbol at the top center of the page. Once selected, this will drop down an array of items to play with.  Here, you can quickly select in one view anything you want to create, whether it’s a credit memo, print a check, or create a weekly timesheet.

5. I can’t find a transaction. Where do I go? There is a search function with a magnifying glass symbol at the top center of the page.  Select the symbol and enter any amount, check number or date to find a transaction. Do you want to find something more specific? Select “Advanced Search” and input the type of transaction and what it contains.

6. Are there keyboard shortcuts to navigate through the site?   Click here to find many of the shortcuts available.
