QuickBooks Tip: Increase Efficiency Using CTRL+F and Memorized Transactions

Do you find yourself looking for a transaction in QuickBooks by opening the related form and clicking “Previous,” “Previous,” “Previous” until you find the transaction you were looking for?  Well you can stop doing that.  A much more efficient method of finding transactions is to simply press CTRL + F, select the transaction type and some other unique identifying data field specific to the form you are interested in finding, and press Find.  The form you are looking for (or a list of forms that share the date you searched for) will appear.  Double clicking on any line in the list will bring you to that form.

Have you ever had this experience? After spending what seems like an eternity looking for a transaction to balance your bank account, you realize that it was posted to a different bank account?  Using CTRL+F in the bank reconciliation window allows you to search for a banking transaction of a specific amount, so you will quickly be able to locate mistakes like this.  You won’t be able to change the transaction in the Find window, but you will be able to see where it has been posted so you can correct it.

Do you find yourself entering the same bills month after month to the same vendors for the same recurring expenses?  Consider making these bills memorized transactions to save yourself  time each month.  To do this:

  1. Open the transaction you want to memorize.
  2. Go to Edit > Memorize.

You will have the option of indicating how often this transaction occurs and the next date for the transaction.  In addition, you can add the memorized transaction to your reminders list so you will receive a reminder when the transaction is scheduled.  If you don’t want to be reminded, you can choose “Do Not Remind Me” or opt for QuickBooks to automatically enter the transaction based on the frequency and date you provided.  If you choose not to be reminded, you can always access your memorized transactions by going to Lists > Memorized Transactions List.
